Growing a Healthy EDI Initiative to Reduce Costs,
Improve Efficiency, and Prepare for Growth

A major supplier of nursery products and plantings faced challenge threatening to wilt their sales
volume to retailers such as Lowe’s and Wal-Mart. They faced demands from large customers
for superior performance in their supply chain. And, the ability to execute and respond to EDI-
based transactions required full integration with the company’s business and production
systems.

Goals and Concerns

The Company’s IT Manager quickly identified their PC-based EDI software as a major
roadblock to rapid response to customer demands and new business opportunities. He
established a project to reduce costs in day-to-day operations, streamline supply chain
responsiveness and manage future growth.

Implementing this new EDI system would not be an easy task. With over 80 trading partners and
several hundred thousand documents a month, the project team dreaded the potential for
downtime, problems and charge backs during the migration to a new system. They knew
managing the transition without any disruption in service and response to customers was a top
priority.

Software or Services?

Exploring their options, they soon became concerned about the high costs implementing a
traditional, translator based EDI system. In addition to the software, maintenance and
communications costs, they would have to add headcount with the technical EDI,
communications and integrations skills as well as manage the daily operations of an EDI
initiative.

Faced with a mission-critical project that needed time and specialized skills, it became clear:
an in-house effort might not be the best approach to meet their technical and business goals.
They began to assess whether a partner with the experience and expertise necessary to drive
the project and establish a best-of-breed EDI processes and system was the right direction.

How Managed EDI Services Helped

After careful evaluation of several EDI solutions, the Company elected to follow a managed
services strategy. The decision was based upon proven technical expertise, impressive
customer list and tangible business advantages including:

Enterprise strength IT management – Best-of- breed technology and expertise, without adding
staff the company was able to engage the same superior technology skills and expertise as the
IT staff of major corporations.

Pro-active IT management- Limited IT resources force many companies into a reactive mode,
addressing the” hot” situations and deadlines, and postponing, or ignoring improvement,
advancement, and sometimes maintenance activities.

Fast Problem and Issue resolution – A virtually unlimited pool of expertise is on tap. No issue
falls into the timing of “as resources allow”, or “when it comes up on the development backlog .“

Assured Business Continuity- Disaster prevention and disaster recovery are supported by
duplicate, parallel systems; aggressively managed by dedicated systems experts.

Predictable, known costs- EDI can be full of “gotcha’s”, the surprises senior management does
not like. With the Managed EDI Service approach we had several financial models to choose
from, such as a flat monthly rate, per partner enablement plans as well as complex service
model pricing.

No Administrative and Reporting Overhead- Managed EDI services includes the internal
reporting, event notifications and inter-departmental synchronization and eliminates the need for
scarce IT staff time to manage them.
